This organisation has worked with Powwow on its AGM for many years, with the format evolving over time to reflect how members want to take part and what the moment demands.
Previous editions had taken place in-person and as hybrid events. For 2025, the client chose to move fully online, with a clear aim: increase accessibility without losing the sense of real-time connection that makes an AGM feel meaningful.
Together, we rethought the format from the ground up. The focus wasn’t just on broadcasting proceedings, but on making it easy for members to follow, participate and engage — while giving the board a setting that felt confident and appropriate for a regulated environment.

The event was built around a purpose-designed studio broadcast.
Directors were supported by a professional on-screen setup, while members could take part through live captions, a dedicated British Sign Language stream, and multiple Q&A routes — from text submissions to live Zoom questions.
Behind the scenes, the production required careful coordination and contingency planning. For members, it felt clear, accessible and genuinely interactive. What changed was participation. The AGM saw the highest level of member engagement in a decade, showing how a well-designed virtual format can strengthen connection while meeting the demands of governance and scale.
Attendance isn’t the same as participation.
Making the AGM fully virtual wasn’t about broadcasting the meeting, it was about making it easier for members to take part and engage.
